Summary
Oversees a variety of lead duties while working closely with Physicians, Medical assistants, Lab/X-ray Technician and support medical staff. Responsible for coordinating all medical staff activity within the office to maximize patient flow, productivity and teamwork. Back-up CIS (Clinical Informatics Specialist) works in conjunction with users regarding electronic health record system issues/concerns & updates personnel to the system as necessary. In addition to clinical coordinating working closely with the medical receptionist and billing to ensure patients, insurance eligibility benefits. Work with the Health Director on clinical reports.
Job Description
Essential Duties and Responsibilities
Include the following, other duties may be assigned.
- Ensure compliance with all regulations and rules, ensures signatures are obtained on all required documents and consent forms to ensure quality patient care and services are provided.
- Oversees/assists staff in daily operations of medical office operations. Notify medical staff of any clinic closures.
- Resolves problems in medical administrative areas and ensures compliance with regulations and standards.
- Sign off on medical staff leave requests to ensure proper staffing to meet minimum standard of patient care.
- Sign off on medical staff timesheets for accuracy and time adjustment coordination as necessary.
- Assist in maximize productivity proper patient appointing to compliment daily Physician schedule and office hours.
- Interact with medical staff and patients to ensure a high level of professionalism and customer relations.
- Coordinates and organizes training as necessary for medical staff members, and participates in guidance and educational programs.
- Helps establish/implement/update goals, objectives, policies, procedures and systems for the assigned medical department administrative areas.
- Develop systems and procedures to improve the quality and efficiency of the Medical Department, as well as coordination of services with all other departments/programs of the Wellness Center.
- Identify and document problems in business processes and coordinate development of solutions that pertain to the medical department.
- Ordering of office and medical supplies and equipment for the medical department.
- Act as Medical department intermediary fielding all staff concerns, developing plans for solutions, reporting issues to the Assistant Health Director/Health Director when necessary and coordinating resolutions.
- Field patient concerns and facilitate solutions for increased quality of patient care.
- Maintains all necessary internet portals (Ins, Credit card, WA State and secure websites) for business needs. Including employee access.
- Works with Clinical Support staff with insurance company verification of eligibility, benefit coverage on patient’s insurance plans and communicate insurance verification information to the patient documents into systems all information related to coinsurance, copay, deductibles, and authorization requirements.
- Works collaboratively with the receptionist and billing in order to collect all fees and balances due for services provided.
- Works cooperatively and compassionately with patients and staff.
- Maintains strictest confidentiality and HIPAA compliance.
- Coverage for medical receptionist as necessary if Clinic office support is not available.
- Public Health Response Medical Clinic policy and planning as necessary.
- EPIC back-up (All aspects of EPIC)
- Set up/changes for providers and new staff.
- Scheduling/updates/changes for medical clinic
- Works staff for record completeness and accuracy.
- Work with Providence on EPIC updates and technical issues
- Participates in professional development activities to keep current with health care trends and practices.
- Serves as liaison between Medical clinic and external agencies as necessary.
- D.O.H/NPIAHB/PC Health Department. Etc.
- Works closely with the Health Director on EPIC Health Maintenance weekly/monthly reports.
- Other duties and special projects to be performed as assigned by Health Director.
- Maintains current, active, valid, unrestricted Washington State licensure and CEU’s as necessary.
- Maintains current CPR certification.
- Participates in the Tribe’s quality improvement and planning activities as necessary.
- Works cooperatively with the Health Director, Wellness Center Staff.
- Observes strict patient confidentiality, and all pertinent requirements of HIPAA and any other confidentiality regulations.
- Performs any additional reasonable roles and responsibilities as determined necessary by the Health Director.
Safety:
- Demonstrates knowledge of CDC, Dept. of Health, OSHA standard as it applies to the clinic environment.
- Adheres to universal precautions.

Qualifications

Experience and Eduction
Associate's degree (A. A.) or equivalent from two-year College or technical school; or 3 to 5 year related experience of Medical clinic management; or equivalent combination of education and experience. Advanced knowledge and use of medical terminology required. Hands-on experience with computerized systems. Knowledge of HIPAA Compliance Standards required. Knowledge of medical insurance plans, and patient scheduling.
Skills
LANGUAGE SKILLS: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
MATHEMATICAL SKILLS: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
