Summary

The Case Coordinator coordinates Workforce Development (WFD) services for the Shoalwater Bay Tribe (SBIT) and the South Puget Intertribal Planning Agency (SPIPA). This position provides direct support, coaching, mentoring, and guidance to clients as they work toward economic self-sufficiency. The Case Coordinator assists the WFD Department with administrative tasks, client services, and overall program coordination, ensuring clients can access employment, education, training opportunities, and navigate personal or systemic barriers. This role is essential to maintaining accurate documentation, ensuring compliance with grant requirements, and contributing to the overall success of Workforce Development initiatives. This position is grant-funded

Job Description

Essential Duties and Responsibilities

Include the following, other duties may be assigned.

  • Maintain accurate client records, case notes, and case files.
  • Coordinate cash assistance, childcare and employment and training services.
  • Provide support to Tribal Childcare Providers and SPIPA Childcare Staff to ensure all required documentation is current and on file to process timely payments.
  • Administer assessments to assist individuals in identifying a critical analysis of their goals, interests, skills, and experience. 
  • Effectively communicate program and service eligibility, process intakes, and assess client needs to create an ISP to process support services tied to employment and training activities.
  • Monitor and record clients’ progress to ensure the goals and objectives are met to move clients toward economic self-sufficiency.  
  • Uphold case management WFD & Cash Assistance standards as defined in the SPIPA WFD Policy and Procedure Manual, & SBIT Policies and Procedures.
  • Articulate program services and activities and identify, evaluate, and explore solutions to assist in removing barriers.   
  • Plan, coordinate, and implement client-focused activities and community outreach events in partnership with WFD staff, vendors, and community partners; oversee logistics including scheduling, supplies, locations, and documentation
  • Maintain accurate records in compliance with TANF policies by processing documentation (e.g., purchase orders, check requests), tracking attendance and incentives in TAS, and monitoring expenditures and inventory for events.
  • Manage caseload, provide case management, facilitate appropriate support services. 
  • Assist with quarterly reporting narratives, including contributions to intertribal reports.
  • Support clients with intakes, recertifications, and completion of required paperwork.
  • Provide referrals to employment, training, and support services.
  • Help clients develop and update Individual Service Plans (ISPs).
  • Assist in organizing events, classes, and proposals as outlined and approved.
  • Collaborate with Case Coordinators, SBIT Workforce Development staff, and Shoalwater Bay tribal staff.
  • Conduct follow-ups with clients to ensure continued engagement and progress.
  • Travel as needed for training, meetings and to meet clients in their homes, including locations outside of Pacific County.
  • Flexible scheduling for occasional weekend events
  • Must be willing to attend SPIPA trainings

Required Qualifications:

  • Experience with Microsoft 365 (Word, Excel, Outlook, Teams, etc.).
  • Strong empathy, patience, and understanding of client needs.
  • Ability to work collaboratively in a team environment.
  • Maintain strict confidentiality and discretion with all SBIT and client information

Preferred Qualifications:

  • Prior experience in social services, workforce development, or tribal programs.
  • Knowledge of local community resources and support services.
  • Experience working with tribal communities or underserved populations.
  • Ability to assist in grant writing or proposal development.

Experience and Eduction

High school diploma or general education degree (GED)

Skills

LANGUAGE SKILLS: Ability to read and comprehend instructions, short correspondence, and memos.  Ability to write simple correspondence.  Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

 

MATHEMATICAL SKILLS: Basic mathematical skills; addition, subtraction, multiplication, division, decimals and fractions.

 

REASONING ABILITY: Ability to apply common sense understanding to carry out detailed written or oral instructions.  Ability to deal with problems involving a few concrete variables in standardized situations.

 

Certificates, Licenses and Registrations

Must have a valid Washington State driver’s license.
